At Spotlight Publishing House™, we believe the publishing process should feel structured, supported, and thoughtfully guided.

This Production Policy exists to create clarity around how your book moves from manuscript to publication—so the experience remains calm, aligned, and predictable for everyone involved.


1. The Nature of the Publishing Process

Publishing is a collaborative and phased process.

Each book moves through clearly defined stages

  • Manuscript Preparation

  • Editing & Refinement

  • Design & Formatting

  • Proofing & Final Review

  • Publication & Distribution

Each phase builds upon the previous one. For this reason, revisiting earlier stages may impact timeline, scope, and cost.

2. Project Scope & Deliverables

Your specific deliverables are outlined in your signed agreement (Foundation, Signature, or Legacy).

This policy ensures:

  • Work remains within agreed scope

  • Additional requests are handled thoughtfully

  • Timelines remain stable

Out-of-Scope Work

Requests beyond your package may require:

  • A revise timeline

  • Additional fees

  • A formal addendum

3. Timelines & Momentum

Publishing timelines depend on shared momentum between the author and our team.

Estimated timelines assume:

  • Timely submission of materials

  • Prompt responses to requests

  • Efficient review and approval cycles

Delays may occur if:

  • Materials are submitted late

  • Feedback is delayed

  • Significant revisions are introduced mid-process

We will always communicate clearly if timelines shift.

4. Revision Rounds

Each phase includes a defined number of revision opportunities (outlined in your package).

Important Guidelines:

We do not sell your personal information.

  • Revisions are intended for refinement, not reinvention

  • Consolidated feedback is required per round

  • New directions after approval may be considered out-of-scope

This ensures progress remains steady and focused.

5. Approval Milestones

At key stages, you will be asked to review and approve materials.

These may include:

  • Edited manuscript

  • Interior layout

  • Cover design

  • Final proof

6. Author Responsiveness

To maintain a smooth workflow, authors are expected to:

  • Respond within 3–5 business days (unless otherwise arranged)

  • Submit materials in requested formats

  • Provide clear, consolidated feedback

Extended delays may result in:

  • Timeline adjustments

  • Project rescheduling

7. Project Pauses

If a project becomes inactive due to delayed communication or missing materials:

  • Work may be paused after 14 days of inactivity

  • Projects inactive for extended periods may require a restart fee

This allows us to maintain quality and scheduling across all author projects.

8. File Management & Version Control

We maintain structured version control throughout production.

To ensure clarity:

  • Only the most recent approved files are used

  • Authors should avoid editing outdated versions

  • All updates should flow through designated channels

This prevents confusion and production errors.

9. Design & Creative Direction

Design is both strategic and subjective.

We work to align with your vision while ensuring:

  • Market alignment

  • Professional standards

  • Readability and usability

10. Proofing & Final Responsibility

Before publication, authors are responsible for reviewing all final materials carefully.

This includes:

  • Grammar and spelling

  • Formatting accuracy

  • Content correctness

Once final approval is given:

  • Files are considered complete

  • Post-publication corrections may require additional work and fees

11. Third-Party Platforms

We may support integration with platforms such as:

  • Amazon KDP

  • Printers and distributors

  • Marketing tools

While we guide and assist, we are not responsible for:

  • Platform changes

  • Technical limitations

  • Third-party delays or errors

12. Communication Rhythm

We maintain a structured communication flow to ensure clarity and efficiency.

Communication occurs through:

  • Email

  • Author portal updates

  • Scheduled calls (based on package level)

We do not operate on an on-demand or real-time response model.

13. Quality & Standards

Every project is guided by our commitment to:

  • Clarity over complexity

  • Thoughtful pacing

  • Professional publishing standards

We reserve the right to maintain these standards throughout the process.


14. Alignment with Agreement

This Production Policy works alongside your signed agreement.

In the event of conflict:

  • Your signed agreement governs deliverables and financial terms

  • This policy governs process and workflow
